Note codes setup allows the creation of pre-defined reasons used during approval sessions or the Requisition/Check Request review session when a users item(s) will not be approved or processed.
When an item is disapproved the approval or review users may assign a Note Code to explain the reason the record is not being approved in order to clarify the action that needs to be taken by the owner of the document. System Settings can be used to force selection or entry of notes codes during these sessions.
Notes codes are visible in line details as well as on eMail notifications.
During these sessions, notes back to the document originator can be selected or typed-in. Typed in notes will only be used for that session and will not create values in this setup table.
To delete the highlighted line, click in the checkbox and press the Save button on the Entry Toolbar.
Enter up to 20 alphanumeric characters as an identifiable name for the new Note Code. During selection both the code and the description will be visible, the description will be stamped to the log and will appear in the eMail notification, if enabled.
Enter up to 60 alphanumeric characters as description for the Note Code. During selection both the code and the description will be visible, the description will be stamped to the log and will appear in the eMail notification, if enabled.
Notes might include items such as....Over Budget, Incorrect Coding, Not Budgeted, Vendor Delivery - Vendor cannot meet requested Delivery, Discontinued - the selected item has been discontinued.
