The Project page allows users to edit existing or create new projects.  The Project page can be accessed from Project Maintenance and requires the user to have the correct Security Access.

This button is available when the Project System Setting 'Enable Approval' is checked.  When a project is active, it will allow the user to edit project information and resubmit the changes for approval.

Entry Fields

Active Checkbox

Check this box to make the specific project selectable during transaction entry.  When the Project System Setting 'Enable Approval' is checked, this checkbox cannot be checked until the record is submitted and approved.

Billable Checkbox

This controls the defaulting of the billable checkbox on the Phase and Activities tab.

Inter-Company

This field is only available when Intercompany is registered.  When left blank the Project is available for all companies, if a company is specified it belongs exclusively to that company.  Projects assigned with a specific Inter-Company will only be available for selection when the Target Company on the transaction line matches this value.

Project ID

Enter up to 20 alphanumeric characters to establish a name for a new Project in this field.  Project ID's must be unique across all companies.  To view or modify existing projects, use the document navigation control in the upper right hand corner of the page.

Available to all Employees Checkbox

When enabled and using the Project Access functionality, this project will be available for selection during transaction entry to all employees and not limited to those selected on the Project Access page when the 'Restrict Project by User/Role System Settings are enabled.  

Description

Enter up to 60 alphanumeric characters as an additional description for the Project ID entered.

Allow on Purchasing

Check this box to make the specific project selectable for Requisition/Check Request and Purchase Order transactions.

Allow on Expense

Check this box to make the specific project selectable for Travel and Expense transactions.

Allow on Time

Check this box to make the specific project selectable for Time transactions.

Require Timesheet Comment

Check this box to require that users enter a Comment for all Timesheet entries for the Project.  When enabled, users will receive a warning upon save and an error upon submit for any line where a comment was not entered for the selected that Project.  Users will be permitted to save but not allowed to submit the Timesheet until this has been corrected.

Project Type ID

Type in or select a valid Project Type ID to associate your project with a predefined group.  These groups must be previously established on the WorkPlace Maintenance Tab.

Project Manager

Informational field that can be populated by a zoom window based on WorkPlace Security ID.

Approval

Sends all transactions that are coded against this project to the Project Manager for approval.

Company

Select an existing Company Code from the zoom window.  Only one company can be assigned per project.   In order to be selectable, a company must be set to Active on the WorkPlace Companies page (located under the Project heading on the Maintenance tab.)  

Currency

By default, the Currency ID selected in this field will become the default currency for all newly created phases and activities in the project.  Currency ID's must exist prior to project creation in order to be selectable on this page.

Rate Type

By default, the rate type selected in this field will become the default type for all newly created phases and activities in the project.  

Customer

Select an existing Customer ID from the zoom window.  Customers must exist prior to project creation in order to be assigned on this page.  Customers must exist prior to project creation in order to be assigned on this page. Customers are setup in Customers located under the Central heading on the Maintenance tab.

Organization

Select an existing Organization ID from the zoom window.  Organizations must exist prior to project creation in order to be assigned on this page.  Organizations are setup in Organization located under the Maintenance section on the Administration tab.  This is an information field only.  If using Project with Requisition/Check Request or Purchase Order, the assigned Organization will be filled in on the Requisition/Check Request Line when the Project is selected.

PO Number

Customers PO Number that is printed on the generated invoices.

G/L Account Restriction

There are 4 rules which can apply to which projects can be selected based on the G/L account selected on the Requisition/Check Request line.  If there is no rule specified then the functionality is disabled.  If Individual is specified then the project can only be used with the specified G/L account.  If List is specified then the project can only be used for the G/L accounts in the specified list.  If Not in List is specified then the project is only available for those G/L accounts not in the List.  If a restriction is applied, the G/L Account lookup will be restricted when the Project is selected on a transaction.  Note that if Intercompany is licensed, restricting by individual G/L Account is not available.

Budget Amount

Enter the amount budgeted for the Project. This is informational only and will not prevent transactions from going against the Project if exceeding the Budget Amount.

Actual Amount

This is an informational field and shows the amount that has been entered against the Project from all transactions.

Budget Unit

Enter the unit amount budgeted for the Project. This is informational only and will not prevent transactions from going against the Project if exceeding the Budget Unit.

Actual Unit

This is an informational field and shows the unit amount that has been entered against the Project from all transactions.

Status

Type in or select a valid Status for the project.  Valid status values are setup and maintained using the Project Status page.

Status Description

This is an informational field that allows the user to enter an additional, free-form comment on the status of the project.

Last Status

This is a read-only field that is automatically updated upon save when the status description field is changed.

Minimum Billing Increment

Enter a value to enforce a minimum billing increment for any hours entered to a Timesheet against the selected Project.  This field will default to zero (0) when new Projects are created which indicates no billing increment will be enforced.  When enabled, users will receive a warning upon save and an error upon submit for any line where the number of hours does not match the minimum billing increment was not entered for the selected that Project.  Users will be permitted to save but not allowed to submit the Timesheet until this has been corrected.

G/L Segment Default

This section is available when Advanced Account Lookup is licensed to allow selection of default G/L Segment values for the selected Project.

G/L Segment Caption

Each active G/L Segment ID will be listed and available for selection.  The field label will be based on the Description entered on the G/L Segment maintenance page.

G/L Segment Default

Enter or select a valid value for the selected G/L Segment ID.
