The WorkPlace Expense Business Rule engine provides organizations the ability to create their own filter based business rules that can be enforced based on their unique business requirements and WorkPlace configurations. Each rule can be configured to present user defined messages and controls to groups of users based on different conditions specific to how the organization does business. Once configured, all transactions processed for the assigned users will be validated against the conditions defined for the rule to provide immediate feedback and process controls.
Enter an ID for the Business Rule.
Enter the message that will be displayed to the user when the Business Rule is enforced.
Action Type will default to ‘None’ which means the rule will not be validated when Expenses are processed. Select this option to inactivate rules temporarily or that will be enabled at a later, unknown time.
When Warning is selected and the conditions apply to a transaction, the Message will be displayed with the warning icon. Users will still be permitted to save, submit and approve expenses when this action type applies. This action type is designed to 'warn' the user based on the business rule scenario for their information purposes that may influence their decision to submit or approve without limiting their ability to do so.
When Error is selected as the Action Type, the message will be displayed with the error icon and the user will not be permitted to save, submit or approve the expense(s). This action type is available for organizations that wish to completely eliminate the ability to process expenses under the specified conditions.
When enabled for rules with an Action Type of 'Warning', a confirmation dialog will display when a user attempts to submit a transaction matching the Business Rule to display the warning message with options of Yes and No. Selecting Yes will continue the Expense Sheet submission while clicking No will return the user to the Expense Sheet.
Optionally enter or select a date when the Business Rule will take effect. If specified, then the Rule will be enforced on or after the selected date. By default, this field will be blank and the Rule will be effective immediately subject to the Expiration date below.
Optionally enter or select a date when the Rule will expire. If specified, the Rule will no longer be enforced on or after this date. By default, this field will be blank which means the Rule will never expire.
Click this button to add a new Condition for the Business Rule.
Allows the user to restrict what is displayed in the '' field when role-based security is licensed by selecting Both, User or Role.

List of WorkPlace Login Names and Roles which have been selected for the Business Rule. When selected, this rule will be validated or 'checked' every time transactions for those users are saved, submitted or processed for approval.
When Conditions have been assigned to the Business Rule, they will be listed under this section with a summary of the filters for the selected functional area / transaction. One or more Conditions can be assigned to each Rule to allow for different scenarios based on different WorkPlace solution transactions or transaction types. Each Condition listed in this section represents an OR Condition that will be enforced when the associated transactions are saved or submitted. If no Conditions are assigned to the Rule, no validations will occur.
Click the Edit button to open the Business Rule Condition page and make changes to the conditions that define the selected rule.
Click the Remove button to delete the Business Rule Condition from the rule.
