Create or Edit TimeSheet

Creating a new Timesheet is the first step in the Timesheet Workflow.  You can also edit existing Timesheets by selecting any Timesheet item under the Outstanding Transactions heading on the Dashboard.  Open Timesheets are those that have already been created but have not yet been submitted for approval.

Required fields are denoted with a red star next to the field name on the screen.

Employee

Worker whose hours are recorded on the Timesheet.

Employee ID

Identification number for the selected Employee as defined on their WorkPlace Security profile.

Period From

Starting Date of the Time Period for the Timesheet.  Time periods are setup in Time Period Maintenance.  Also, time periods are only available if they fall on or after a users hire date which is specified in Security.

Period To

This value is computed based on the selected Period From date.

Department

Home Department of the Employee.

Created by

Name of User who entered the timesheet.

Created

System date the timesheet was entered.

UDF List 02

User Defined List 02 is defaulted from security for the current user.

Delete Checkbox

Select this checkbox and click Delete on the Document Toolbar to remove a line item.

Contract

This field is only available when integrated with Dynamics GP Project Accounting.  Enter or select a Contract Number from an active Dynamics GP contract.

Project

This field is only available when integrated with Dynamics GP Project Accounting.  Enter or select a Project Number from an active GP project.

Cost Category

This field is only available when integrated with Dynamics GP Project Accounting.  A Cost Category ID from an active GP project and/or contract.  If a Non-Financial List is selected for the System Setting "Productivity Cost Category Class Restrictive Non-Financial List", Cost Categories will be restricted based if the "Time" or "Productivity" page view has been selected on the toolbar.

Project

This field is only available when integrated with WorkPlace Project Accounting.  Select a valid Project ID from the zoom window. If modified during System configuration, this field label may vary.

Phase

This field is only available when integrated with WorkPlace Project Accounting.  Select a valid Phase ID from the zoom window. If modified during System configuration, this field label may vary.

Activity

This field is only available when integrated with WorkPlace Project Accounting.  Select a valid Activity ID from the zoom window. If modified during System configuration, this field label may vary.

Bill Type

This field is only available when integrated with WorkPlace Project Accounting.  Type in or select the bill type to be used for the Expense Sheet line to provide additional information on how the associated expense relates to a project for reporting or billing purposes.  Bill Type values will be based on your WorkPlace configuration and associated EAIC.  When integrated with the WorkPlace Project Billing solution, for example;

Billable: The expense entry will appear on an invoice as billable.

Non-Billable: The expense entry will appear on an invoice with no rate assigned.

No Charge: The expense entry will be associated to the project but will not appear on an invoice.

Bill Type

Type in or select the bill type to be used for the project selected. Used with GP Project Series.

Shift code

Select or type in the Shift code associated with the time being entered.

Earning Code

Earning code identifies a specific type and rate of pay. For example, employees who are paid a salary rate might have the pay code SAL assigned to them.

Labor Group

 Select or type in the Labor Group associated with the time being entered.

Pay Code

A pay code identifies a specific type and rate of pay. For example, employees who are paid a salary rate might have the pay code SAL assigned to them.

Daily Hours (i.e. Mon-Sun based on Time Period)

Enter daily Timesheet units into each entry box.  Upon selection, the entry region will change color to highlight the day for the user.  The following icon will appear for each time entry where a comment has been entered;

 The comments icon will appear when text has been added for that day.

The following informational icons will be displayed for each time entry when the 'Enable Time Dashboard' System Setting is enabled on the Time tab.  No dashboard icon will be displayed for entries that have not been saved.  Hovering the mouse over an icon will display a more detailed status description for each entry.

 Unapproved:  The Timesheet entry is unsubmitted or awaiting approval.

 Approved: The Timesheet entry has been fully approved.

 Disapproved: The Timesheet entry has been disapproved.

 Processed: The Timesheet entry has been fully processed and moved to history.

Department

This field is only active when integrated with Dynamics GP Project Series and allows entry for a Dynamics GP Payroll Department, not to be confused with a WorkPlace Department.

Position

This field is only active when integrated with Dynamics GP Project Series and allows entry for a Dynamics GP Position Code.

Total

Total hours entered for the employee on this timesheet.

Comment

Free form unlimited text for the selected time entry based on the selected radio button.

 

Read Only descriptions are displayed for some of the line level fields above but may be truncated when the descriptions are lengthy in order to preserve the screen space for data entry.  To view the entire description (such as the Project name), simply hovering the mouse over the text will automatically highlight and expand to display the full text.

Time Entry Toolbar

The following buttons may be available for selection based on the associated System Settings to allow users to enter additional information for the Timesheet.  

 Time Card

The Time Card button will be displayed when WorkPlace Time is integrated to GP Project Accounting and the 'Allow Entry by Time' option is enabled within Timesheet Setup Options or when Time is integrated with WorkPlace Project and the 'Enable Time Card' System Setting is enabled.  Start and End times entered into the Time Card are applicable for the selected Timesheet Entry.

 Time Track

The Time Track button will be displayed when the 'Enable Time Track' System Setting is enabled.  Start and End times entered into Time Track are applicable for the selected Day across multiple Timesheet Entries.
