G/L Budget is available when the WorkPlace G/L Budget module is licensed to setup and maintain Budgets by Period. G/L Periods need to be setup prior to entering G/L budgets. Once budgets have been defined, they will be available to view and compare to actual throughout transaction entry based on user security. Once configured or integrated with supported ERP's, G/L Budgets provide real time validation to control transaction entry based on the configuration options below.
Check the box to make the Budget available for display in the transaction entry pages.
This field is available when WorkPlace Inter-Company is licensed to select the company ID for the G/L Account.
Enter up to 30 alphanumeric characters as an identifiable ID for the G/L Budget.
Enter up to 128 alphanumeric characters to further describe the G/L Budget.
Enter the starting date for the G/L Budget. This date must be within the fiscal year and must be a valid G/L Period start date.
Enter the ending date for the G/L Budget. This date must be within the fiscal year and must be a valid G/L Period end date.
Selecting this option will allow transactions to exceed the budgeted amount. If this option is unchecked, transactions cannot be entered that will go over the budget amount based on the date, G/L Account and tracking type.
Selecting this option will display a warning in transaction entry when the transaction is over the budgeted amount based on the date, G/L Account and tracking type.
Select between "Budget Year" and "Fiscal Period" to control how budgets are displayed and controlled throughout WorkPlace.
Select the stage in the WorkPlace Requisition/Check Request workflow where amounts will be encumbered. Requisition/Check Request amounts before the Encumbered stage will display in Budget views as Pre-Encumbered. Available choices include;
REQ Un-Submitted: Requisition/Check Request lines that have been entered and saved but not submitted for approval.
REQ Submitted: Requisition/Check Request lines that have been submitted and are awaiting approval.
REQ Approved: Fully approved Requisition/Check Request lines available for review.
PO Un-Released: Purchase Orders that are Un-Released and/or awaiting Approval.
PO Released / Approved: Fully Approved and Released Purchase Orders.
RCV Un-Submitted: Receiving lines that have been saved but not submitted or processed.
RCV Submitted: Submitted Receiving lines awaiting approval.
RCV Approved: Fully approved and processed Receiving lines.
INV Un-Submitted: Invoice Match lines that have been saved but not submitted or processed.
INV Submitted: Submitted Invoice Match lines awaiting approval.
INV Approved: Fully approved and processed Invoice Match lines.
Select the stage in the WorkPlace Expense workflow where amounts will be encumbered. Expense amounts before the Encumbered stage will display in Budget views as Pre-Encumbered. Available choices include;
EXP Un-Submitted: Expense lines that have been entered and saved but not submitted for approval.
EXP Submitted: Expense lines that have been submitted and are awaiting approval.
EXP Approved: Fully approved Expense lines available for review.
Once a G/L budget has been entered or selected, detailed budget information can be entered and viewed across periods based on the G/L Budget Dimensions available. When Financial Dimensions / Advanced Account Lookup is not licensed, the G/L Account will be the only required value for the budgets.
When Financial Dimensions / Advanced Account Lookup is licensed, each active Segment will be available to include when defining the G/L Budget dimensions. This provides the ability to enter and track budgets for any combination or individual G/L Account or Segment value.
Find G/L Budget Dimension(s)
Click this button to select G/L Budget Dimension combinations that have already been budgeted for the specified Budget.
new
Create a new G/L Budget Dimension combination for the selected budget.
Delete the selected G/L Budget Dimension combination.
Enter or select a valid G/L Account to view and edit the budget lines for the selected periods. When Financial Dimensions / Advanced Account Lookup is not licensed, this will be the only value required to defined the budgets.
These fields are available when Advanced Account Lookups is licensed. Each active GL Segment will be available for entry or selection. The field labels will be displayed based on the GL Segment setup. Valid entries for each field are determined based on the GL Segment Relationships setup and maintained within GL Segment maintenance.
