Attendee

The Travel and Expense line Attendee page is available to allocate expense line amounts to one or more parties for Attendee Tracking and reporting purposes.  This page will only be available if the user has been assigned access to the 'Attendee' processing option in Security.

Expense line amounts can be distributed to one or more Attendees based on percentage or amount.  The Attendee entry page does not require the full amount of the Expense line to be distributed but will ensure the total amount allocated across all attendees does not exceed the line amount when the Expense is submitted.

Attendee details can be added for both Travel Request and Expense lines.  Attendee information added to a Travel Request is for informational purposes only and will not transfer to the associated Expense lines.

When the 'Enable NPI on Attendee Tracking' System Setting is enabled, the Attendee details will include the ability to select Attendees using the standardized National Provider Identifier (NPI) numbers to streamline Open Payment reporting for the organization.

Header Reference Fields

Session / Line

This read only field will display the Expense Sheet and line numbers for reference purposes..

Currency

The currency for the associated Expense line.  This is the currency for all amounts entered and displayed within this window.

Date

The date for the referenced Expense Sheet line.

Amount

The total Expense line amount available to allocate to Attendees.

Entry Fields

Delete Checkbox

Check the box to select, then press SAVE to remove the selected Attendee allocation.

NPI

The National Provider Identifier field will be visible and available for selection when the 'Enable NPI on Attendee Tracking' Expense System Setting has been enabled.  When an NPI value has been entered or selected from the zoom, the name fields will be updated from the local NPI database upon save.  Selecting an NPI ID will overwrite the name fields upon save of an Attendee allocation line.

Type

Enter or select the Type of Attendee that the expense is being allocated to.  The Attendee Type will be a required field if the 'Require Type on Attendee Tracking when Attendee Distribution Exists' System Setting has been enabled.

Category

Optionally enter or select an Attendee Product Category ID for the Attendee line.

Product

Enter or select an Attendee Product for the Attendee line.  This field is optional unless an Attendee Expense Category has been selected that has been setup with the 'Require Product' checkbox enabled.  

Company

Optionally enter the Company for the Attendee.

Title

Optionally enter the Attendee's Title.

First Name

Optionally enter the first name for the Attendee.  This field will default from the National Provider Identifier record if an NPI value has been selected.

Middle Name

Optionally enter the middle name for the Attendee.  This field will default from the National Provider Identifier record if an NPI value has been selected.

Last Name

Optionally enter the last name for the Attendee.  This field will default from the National Provider Identifier record if an NPI value has been selected.

Percent

The percentage of the expense line amount that has been allocated to the Attendee.  This value can be manually entered or allowed to calculate based on the amount field.  When the 'Auto-Distribute Attendee Amount Equally' System Setting is enabled, this value will be automatically calculated based on the number of Attendees selected and displayed as read-only for reference purposes.

Amount

The amount of the expense that has been allocated to the Attendee.  This value can be manually entered or allowed to calculate based on the percentage field.  When the 'Auto-Distribute Attendee Amount Equally' System Setting is enabled, this value will be automatically calculated based on the number of Attendees selected and displayed as read-only for reference purposes.

Duplicate Line

Distribute

Clicking the Distribute button will automatically assign amounts based on the number of attendees selected for the expense.  If the total line amount does not round evenly based on the number of Attendees, the remainder will be automatically assigned to the first Attendee.
