WorkPlace Project - Phase

This tab allows you to create different phases of work within a specific project.  The Phase Tab is only available as a sub-tab on the Projects page.

This button is available when the Project System Setting 'Enable Approval' is checked.  When a phase is active, it will allow the user to edit phase information and resubmit the changes for approval.

Details

This button is available when the Project System Setting 'Enable Approval' is checked to display pending approvers and approval history.

Copy activity(s) from another phase - Used to copy activities and phase information from another project or phase.

G/L Budget

This button is available when the WorkPlace G/L Budget module is licensed to setup and maintain Budgets by Period.  When selected, budget to actual information will be displayed for the specified 'G/L Account Expense' account and period based on the current date.

 

Informational Fields

Inter-Company

This field is only available when Intercompany is registered and will display the Inter-Company for the Project selected on the Project Tab.

Project

Project ID of the project selected on the Projects Tab.

 

Entry Fields

Phase ID

Enter up to 20 alphanumeric characters to establish a name for a new Project Phase.  Phase ID's must be unique within a company.

Active Checkbox

Check this box to make the specific project phase selectable during transaction entry.

Billable Checkbox

This controls the defaulting of the billable checkbox on the Phase and Activities tab.

Workable Checkbox

Checkbox available for user defined purpose or future functionality.

Available to all Employees Checkbox

When enabled and using the Project Access functionality, the Project Phase will be available for selection during transaction entry to all employees and not limited to those selected on the Project Access page when the 'Restrict Phase by User/Role System Settings are enabled.  

Description

Enter up to 60 alphanumeric characters as an additional description for the Phase ID entered.

Allow on Purchasing

Check this box to make the specific project phase selectable for Requisition/Check Request and Purchase Order transactions.

Allow on Expense

Check this box to make the specific project phase selectable for Travel and Expense transactions.

Allow on Time

Check this box to make the specific project phase selectable for a Time transactions.

Period Begin

Select from the calendar control or type in the start date; such as 01/01/2012.  This is for informational purposes only.

Period End

Select from the calendar control or type in an end date; such as 12/31/2012.  This is for informational purposes only.

Company

By default, the Company Code assigned to the project on the Projects Tab.

Project Manager

Identifies the Project Manager at the Phase level if different than at the Project level.

Approval

Sends all transactions that are coded against this Phase to the Project Manager for approval.

Currency

By default, the Currency ID assigned to the project on the Projects Tab.

Customer

By default, the Customer Code assigned to the project on the Projects Tab.

Rate Type

By default, the Rate Type assigned to the project on the Projects Tab.  

G/L Account Revenue

Account that is passed over to the generated invoice.

G/L Account Expense

Account that is defaulted to the WorkPlace transaction that is debited on the resulting AP transaction.

PO Number

Customers PO Number that is printed on the generated invoices.

Budget Amount

Enter the amount budgeted for the Project Phase. This is informational only and will not prevent transactions from going against the Project if exceeding the Budget Amount.

Actual Amount

This is an informational field and shows the amount that has been entered against the Project  Phase from all transactions.

Budget Unit

Enter the unit amount budgeted for the Project Phase. This is informational only and will not prevent transactions from going against the Project if exceeding the Budget Unit.

Actual Unit

This is an informational field and shows the unit amount that has been entered against the Project Phase from all transactions.

Status

Type in or select a valid Status for the phase.  Valid status values are setup and maintained using the Project Status page.

Status Description

This is an informational field that allows the user to enter an additional, free-form comment on the status of the phase.

Last Status

This is a read-only field that is automatically updated upon save when the status description field is changed.

Comment

Informational field at the project phase level that can hold multiple pages of text.

G/L Segment Default

This section is available when Advanced Account Lookup is licensed to allow selection of default G/L Segment values for the selected Project Phase.

G/L Segment Caption

Each active G/L Segment ID will be listed and available for selection.  The field label will be based on the Description entered on the G/L Segment maintenance page.

G/L Segment Default

Enter or select a valid value for the selected G/L Segment ID.
