Project Activities

When Activities are accessed from within the Projects page, users can associate pre-existing activities to phases within an established project.

This button is available when the Project System Setting 'Enable Approval' is checked.  When a project activity is active, it will allow the user to edit activity information and resubmit the changes for approval.

This button is available when the Project System Setting 'Enable Approval' is checked to display pending approvers and approval history.

G/L Budget

This button is available when the WorkPlace G/L Budget module is licensed to setup and maintain Budgets by Period.  When selected, budget to actual information will be displayed for the specified 'G/L Account Expense' account and period based on the current date.

 

Informational Fields

Inter-Company

This field is only available when Intercompany is registered and will display the Inter-Company for the Project selected on the Project Tab.

Project

Project ID of the project selected on the Projects Tab.

Phase

Phase ID of the activity's phase.

Activity Category

Defaulted base on the selected Activity.

 

Entry Fields

Active Checkbox

Check this box to make the specific Activity selectable during transaction entry.

Billable Checkbox

If unchecked and a user selects this activity then no billing records will be generated from Timesheet batch process.

Workable Checkbox

Checkbox available for user defined purpose or future functionality.

Activity ID

Type in the name or select a valid Activity ID from the zoom control.  Activities must be created in advance on the Maintenance Tab, and can not be created "on the fly."

Description

The default description will automatically populate after the Activity ID is selected.  However, the description can be edited afterwards.

Allow on Purchasing

Check this box to make the specific activity selectable for Requisition/Check Request or Purchase Order transactions.

Allow on Expense

Check this box to make the specific activity selectable for Travel and Expense transactions.

Allow on Time

Check this box to make the specific activity selectable for Time transactions.

Period Begin

Select from the calendar control or type in the start date; such as 01/01/2009.  This activity will not be selectable in transaction entry before the specified date.

Period End

Select from the calendar control or type in an end date; such as 12/31/2009.  This activity will not be selectable in transaction entry after the specified date.

Company

By default, the Company Code assigned to the phase on the Phase Tab.

Project Manager

Identifies the Project Manager at the Activity level if different than at the Project or Phase level.

Approval

Sends all transactions that are coded against this Activity to the Project Manager for approval.

Currency

By default, the Currency ID assigned to the phase on the Phase Tab.

Rate Type

By default, the Rate Type assigned to the phase on the Phase Tab.

Expense Type

Expense Type that will be selected and used on the Expense Sheet when selecting this Activity.

G/L Account Expense

Account that is defaulted to the WorkPlace transaction that is debited on the resulting AP transaction.

G/L Account Revenue

G/L account used when generating invoices.

Item Group

Type in or select the item group.

Item

Type in or select a valid inventory item from the Zoom Window.

Required Qty

Informational numeric field that could be used to note the estimated or quoted units to complete this specific phase activity.

Standard Cost

Informational numeric field that could be used to note the estimated or quoted currency amount to complete this specific phase activity.

Markup%

When Expenses or Purchase Orders are received against this Phase the amount on the transaction will be multiplied by this field to calculate the amount to bill. The field is in whole number percentages, meaning that 25% would be entered as 25.

Labor Group

Type in the name or select a valid Labor Group ID using the zoom control.

Required Date

Type in or select a valid date using the zoom control.  Use this field to identify a delivery deadline for an item.

U/M

Type or Select a Unit of Measure using the zoom control (i.e. each, box, ton, etc.)

Location

Type in or select a valid Location ID using the zoom control.

Budget Amount

Enter the amount budgeted for the Phase Activity. This is informational only and will not prevent transactions from going against the Project if exceeding the Budget Amount.

Actual Amount

This is an informational field and shows the amount that has been entered against the Phase Activity from all transactions.

Budget Unit

Enter the unit amount budgeted for the Phase Activity. This is informational only and will not prevent transactions from going against the Project if exceeding the Budget Unit.

Actual Unit

This is an informational field and shows the unit amount that has been entered against the Phase Activity from all transactions.

Comment

Informational field at the project phase level that can hold multiple pages of text.

G/L Segment Default

This section is available when Advanced Account Lookup is licensed to allow selection of default G/L Segment values for the assigned Activity.

G/L Segment Caption

Each active G/L Segment ID will be listed and available for selection.  The field label will be based on the Description entered on the G/L Segment maintenance page.

G/L Segment Default

Enter or select a valid value for the selected G/L Segment ID.
