Import Data

Administration or Expense > Maintenance > Import Data

This feature is available for the WorkPlace Administrators to import supported transactions and data into WorkPlace.  The options available will be based on the WorkPlace solutions that have been licensed within the environment.  The options available for import will be based on the solutions and modules licensed within the environment.

Import files must be provided in csv format based on the option selected.  The csv file can be uploaded directly or included in a compressed zip file.  The import engine will support any available import map using a zip file containing the associated csv file.  This option is available to accommodate larger files and overcome the 2GB file size limit of Internet Information Services (IIS).

WorkPlace Security records can be imported into WorkPlace by selecting the 'SECURITYUSER' option.  With the extensive number of security and user configuration fields within WorkPlace, a special 'Login Name Source' column is available on the csv template.  When populated, all detailed information other than the General contact information is copied from the source user record when importing new users.

Credit Card transaction imports are available for the Expense Solution and allows a user to import bulk credit card transactions for multiple users.  Upon successful import those users who had Expense transactions generated will be notified via email for them to review and subsequently submit for processing. Credit Card lines can be imported as Expense Sheets or Expense Items for each credit card user based on the "Import Expenses as an Expense Sheet" System Setting.

Before importing Credit Card Expenses into WorkPlace, users need to be assigned to their respective Credit Card Types and numbers to the expenses will automatically be directed to them for submission.  The 'CREDIT CARD' import option is available to import these assignments all at once and populate the Security Credit Card information using the supplied CSV Template.  When processing the selected file if WorkPlace detects a credit card number and Type already exists in the system it will update the record to the new imported User ID.

Upon successful import the resulting generated transaction(s) will be displayed.  If any errors are encountered during import a report link will be displayed to view detailed information pertaining to the error.

WorkPlace Inventory Management users are able to import Items, Vendor Item records and Inventory Adjustment transactions using the defined csv templates available.

The 'NPI (NPPES) Import map is available for the Travel and Expense solution when using Attendee Tracking to import and update the local National Provider Identifier list using the National Plan and Provider Enumeration System (NPPES) file format available from their website.  Importing the file will add new records that are not already loaded in WorkPlace, update existing record contact information and mark deleted records as inactive.  Only records where the 'Entity Type Code' is equal to 1 (Individual) will be imported.  The NPI import map is only available to users with Security permissions to the Expense 'Attendee' processing option.  This import map option is available for importing subsets of the standard NPPES file and organizations needing to import the file in its entirety should consult their IT or Paramount team for direct SQL options.
