The User Preferences page allow users to further personalize their WorkPlace experience by selecting from a number of pre-defined page themes for their Dashboard as well as selecting their preferred date format for use throughout the WorkPlace solution. When the Dashboard is enabled, Approver options for activating, scheduling and displaying their alternates will be displayed here.
This option is available under User Preferences when the WorkPlace Dashboard is activated. Selecting "On" will activate approval alternates for the user as configured in their associated Approval Lists.
This option is available under User Preferences when the WorkPlace Dashboard is activated. When selected, the user will be taken to the Alternate Schedule window that will allow the approver to specify when they will be out of office. WorkPlace will then look at these settings periodically and when the current date falls into the range then the alternates for the approver will be activated. Once the current date falls outside of the range the alternates will be disabled. In order for WorkPlace to periodically check and perform these activities the WorkPlace Agent must be configured on the web server.
This option is available under User Preferences when the WorkPlace Dashboard is activated. When selected, the user's alternate approvers will displayed, if they are active and the associated Approval List.
Turning on Two Factor Authentication provides an additional layer of security when accessing WorkPlace. Once the toggle has been turned to the on position, a unique security key value will be generated for the user that is specific to the WorkPlace company. The key is displayed as text for manual entry and as a QR code that can be scanned using any supported 2-factor authentication mobile application. The user will be required to enter the authentication code provided by their authenticator application and click the 'Enable Two Factor Authentication button in order to proceed.
This option is available under User Preferences when the WorkPlace Dashboard is activated. Each user can choose one of the five preset color themes for the WorkPlace solution.
Allows each user to select the date format to be used throughout the WorkPlace solution.
This option is available when the WorkPlace Mobile application is licensed. This field allows each user to establish a personal mobile pin that will be used for authenticating the WorkPlace Mobile application with WorkPlace through the On The Go (OTG). The Mobile PIN must be at least 8 characters long and contain at least one special (non-alphanumeric) character.
This option is available when the WorkPlace Mobile application is licensed for users to verify (re-enter) their Mobile PIN before it is saved to WorkPlace. The Verify Mobile PIN value must match the value entered in the Mobile PIN field.
When a time of day is entered, all eMail notifications for the user will be queued and only sent out once per day at the selected time. This option will default to 'Off' for WorkPlace notifications to be sent as soon as possible. Only one time can be selected per user entered in 24 hour format and is based on the WorkPlace SQL server time zone. The current server time will be displayed below the description for reference when the User Preferences page is loaded.
This option is available when the WorkPlace Expense solution has been licensed with the Maps interface to allow users to enter their default start address. This address will be used as the starting point when calculating Travel Routes from Expense Entry. When a valid address has been entered, clicking the maps icon will open Google Maps to the location to allow the user to view the address for validation.
Click this button after a Default Start Address for Mileage has been entered to validate the address through Maps and save the address. Once the address has been validated and saved, the user will be prompted and the latitude and longitude coordinates will be displayed above indicating the Address is set and configured. If the address could not be found, an error will be presented and the message "Default Start Address is currently not set" will be displayed above the button.
This option is available when the WorkPlace Expense solution has been licensed with the Maps interface. Select either Miles or Kilometers to indicate how mileage will be displayed for the user within the Travel Route page.
The imported attachment location is available for Check Request users and works in conjunction with the 'Select Invoices' button available on Check Request Entry page. These settings provide users the ability to set personal file location and access information separately from those configured in System Settings at the WorkPlace company level. When these values are not set, the Attachment Location configured within System Settings will be used.
Valid values for this field are file path locations relative to the web server where WorkPlace is installed. File paths can be drive based such as "C:\Attachments" or UNC based such as "\\SERVER\SharedFolder".
This is the user name on the network that will be used when accessing the Attachment Location indicated Above. If this field is left blank then the default process account for the asp.net process will be used when WorkPlace is running under SQL authentication mode. When running under NT authentication the current user logged into WorkPlace is used.
