Release Request

Creating a new Release Request is the first step in the Inventory Fulfilment process allowing users to request items from stock.  Release requests can also be automatically generated as a part of the Requisition Workflow.  Existing release requests can be edited by selecting them from the Outstanding Transactions heading on the WorkPlace Dashboard.  Open Release Request Session(s) are those that have already been created but have not yet been submitted.  When inventory is requested for release, WorkPlace immediately allocates the requested item(s).  Upon submission of a release request, a Pick List report becomes available for the warehouse to print and enter a Transfer/Release Ship session.

Header Fields

Number

A system generated sequential tracking number assigned to all Release and Transfer Requests as defined on the Inventory tab in System Settings.

Created On

System generated date identifying when the Release Request was created.

Created By

Name of the user who is logged in and creating the Release Request, they are the 'owner' of the session.

Document Date

Defaults to current date, may be changed if needed.

Posting Date

Defaults to the Document Date and may be changed if needed.

Organization

Enter or select a valid default Organization ID for the transaction.

From Location

This is used as the line default for each session line where the Item(s) will be requested from.

Item Company

This field is available when Intercompany is registered to default on each session line.

Delete Checkbox

To delete a line from the session, click on the Delete Checkbox and press the Save button on the Entry Toolbar.  Lines can only be deleted for sessions that have not been submitted.

Line

System generated sequential number assigned to each line.

Requested By

Name of the user who is logged in and creating the session line.

Item Company

This field is available when Intercompany is registered to select the company that owns the requested inventory.  The Item Company will determine the Items that are valid and available for selection on the session line.

Item

Type in or select a valid inventory item from the Zoom Window for the request.  Only quantity-tracked items are valid for entry or selection.

Organization

Enter or select a valid Organization ID for the line.  This field will be required when the 'Enable Organization GL Integration' general System Setting is enabled.

From Location

Type in or select a valid location that will be used to fulfill the request for the Item(s).  This is a required field and will default from the session header From Location if it was populated or the default location for the requested Item if one is assigned in Item Maintenance .

G/L Company

This field is available when Intercompany is registered to select the company that is requesting the inventory items and will receive the intercompany expense.  The G/L Company will determine the G/L Accounts that are valid and available for selection on the session line.

G/L Account

Type in or select a valid General Ledger Account number from the Zoom window that will be expensed upon receipt of the inventory requested.  This field is required and will default from the Inventory Offset Account posting account for the item.

G/L Analysis

In order to select an Analysis Group, a general ledger account must first be selected.  Only Analysis Group ID's associated in Maintenance for that account will be available for selection.

Requested

Type in the quantity of the item requested from inventory.  The quantity requested is required, must be a positive number and will be subject to the quantity decimal precision setup for the item in Item Maintenance.  The requested quantity will be allocated when the session is saved.  If the 'Allow Inventory to be Over Allocated' option is not marked in System Settings, the requested quantity cannot exceed the quantity available for the item and location selected on the session line.

Users are able to update the quantity requested on previously submitted Release Requests providing they have not been fully received and the quantity requested is not less than the quantity shipped.

Backordered

Displays the total quantity back ordered based on the quantity requested less quantity available.  This feature is available when the 'Enable Backorder for Transfer/Release Request' System Setting has been enabled.

Shipped

This read-only field will display the quantity shipped for previously processed sessions and is automatically updated when Transfer/Release Ship sessions are processed for the request.

Received

This read-only field will display the quantity received for previously processed sessions and is automatically updated when Transfer/Release Receipt sessions are processed for the request.

U/M

Type or Select from the Zoom Window the requested Unit of Measure; such as each, box, etc.  This is a required field and will default to the base unit of measure (UOM Base) setup in Item Maintenance for the requested Item.
