Auto-Receive Wizard

Once a Requisitions have been processed as Order in the review session, the are available to receive against.

To Begin an Auto-Receive session select the Receiving Wizard transaction from the Dashboard, the user is first directed to Load Options for the Session.

If the session has been Loaded, but not processed the Receiving session will be listed as an Open Auto receive session, Load Options are bypassed when the Open session is loaded.  Any additional items which may be pending receipt will not load to an Open Session.  

Lines available for a user to load into a receiving session may be restricted by establishing Filter Templates.

Document Toolbar

This button will only appear once the currently loaded session has been processed and allows the user to load a new session without having to return to the Dashboard.

Receive All

Clicking this will mark all lines in the session to be received.

Clear

This button is only available for open Receiving Sessions to clear all items and delete the session, returning the user to the Auto-Receive Load Options page.

Informational Fields

The following informational lines will appear upon processing of selected lines and returns the receipt transaction number.

Fields

Receipt Checkbox

Select the checkbox to the left of each line that is being received, Once all lines ready to receive have been selected, press the PROCESS button to complete the transaction and create the receipt.

Source Company

This read-only field is only available when Intercompany is registered to display the Source Company for the Purchase Order.

PO Number

The Assigned Purchase Order Number for the selected line.

PO Line

The line item number assigned on the PO to the item.

Project

This field is only visible when integrated with Microsoft GP Project Series and represents the Project Code selected for the line item.

Item

The item number or description of the item ordered.

Item Description

Description of the item.

Vendor

Vendor for the line item.

Vendor Item

Vendor's item number for the line.

Vendor Item Description

Description of the Vendor Item for the line

Site ID

Site ID for the selected during requisition entry, this field cannot be changed through auto-receive.

U/M

Unit of Measure for the selected line.

Vendor Doc. No.

This is the vendor document number and is only available if enabled.  See System Settings -> Receiving / Invoice Matching Tab option "Require Vendor Document Number when Receiving" for more information.

Date Received

This field can be defaulted to the current date or left blank forcing the user to enter a value.  This option is controlled via a checkbox in WorkPlace System Settings on the Receiving tab.

Priority

Priority code from the Requisition that generated the PO line that is to be Received.  If modified during System configuration, this field label may vary.

Target Company

This read-only field is only available when Intercompany is registered to display the Target Company for the Purchase Order line item.

Requisition

The WorkPlace assigned Requisition tracking number.

Department

The Department for the selected line.

Location

Location for the selected line item.

Cost Category

This field is only available and visible with integration to GP Project Series.

Qty Ordered

The Quantity of the item ordered as it appears on the Purchase Order.

Qty Available

The Quantity available to receive for the item will be displayed when the 'Default Qty Shipped in the Receiving Wizard to zero' System Setting is enabled.

Qty Prev Received

The Quantity of the item previously received for the Purchase Order line.

Qty Prev Rejected

The Quantity of the item previously rejected for the Purchase Order line.

Qty Prev Canceled

The Quantity of the item previously cancelled for the Purchase Order line.

Qty Received

Enter the quantity of the item received.

Qty Cancelled

The Quantity of the item cancelled on the Purchase Order in the GP Purchase Order module.  This field is available to update when PO Change Order is licensed for users with access to the 'Receiving - Cancel Quantity' Security option.  After this field is modified, clicking save will update the Purchase Order line cancelled quantity immediately in Dynamics GP.

The Qty Cancelled field is intended to allow users to receive and cancel the remainder of items not expected from backorder, facilitating purchase order line closing during the Receiving process.  Since this field updates the Dynamics GP Purchase Order immediately upon save or process, it can still be used to cancel amounts for lines that are not being received if needed.   Note that the checkbox for each line is strictly for the receiving process and quantities cancelled will be updated if it is checked or not.  If the amount entered is equal to the total amount remaining, the user will be prompted that 'The line is set to be fully canceled it will be removed from this session on Save'.  All updates to Purchase Order quantities cancelled are tracked on the Requisitions detail log for Purchase Order lines originating from WorkPlace.

Qty Rejected

Enter the quantity of items being rejected due to damage or mis-shipment for the selected line.  By default all lines loaded to the receiving session will have a value of 0 in this field.  This field will only be available when the System Setting 'Enable Quantity Rejected' has been enabled on the Receive/Match Invoice tab.

Qty Cancelled

Enter a quantity of items being cancelled when the remaining order quantity is not expected to be received in the future.  This value will automatically update the Purchase Order line upon process.  By default all lines loaded to the receiving session will have a value of 0 in this field.   This field will only be available when the System Setting 'Enable Quantity Cancelled' has been enabled on the Receive/Match Invoice tab.

Date Shipped

This field can be defaulted to the current date or left blank forcing the user to enter a value.  This option is controlled via a checkbox in WorkPlace System Settings on the Receiving tab. With the Dynamics GP Receiving interface, the Actual Date Shipped is populated with this value.  

Qty Shipped

By default all lines loaded to the receiving session will have the value entered on the Purchase Order less any previously shipped items for this line.  To override the default, type in the actual quantity received for this line item.

Previously Shipped

The system automatically updates this field from receipts processed in previous receiving sessions.

Price

Unit Price of the ordered item, editing of this field depends on GP setup.

Amount Extended

The total dollar amount for the selected line.

Organization

The Organization Code assigned to the Purchase Order line.

Requestor

User who created the Requisition that generated the PO line that is to be Received.

UOM

Unit of Measure for the selected line.

Price

Enter the Unit Price of the ordered item.

Discount

Any discount applied will be shown here.

Freight

Any additional freight charges will be shown here.

Misc

Any miscellaneous charges will be shown here.

Tax

This read-only field will display the additional calculated tax based on the amount and Tax Schedule selected for the line. The details for this calculation are based on the tax details assigned in the Tax Detail page for the Purchase Order and will be the total tax amount where the 'Tax Included' option was not checked for an assigned Tax ID.

Tax Included

This read-only field will display the total tax amount included in the Price that was calculated based on the associated Tax ID's for the line.  The details for this calculation are based on the tax details assigned in the Tax Detail page for the Purchase Order and will be the total tax amount where the 'Tax Included' option was checked for an assigned Tax ID.

Subtotal

The read-only Subtotal for the line will be displayed when the 'Enable Additional Subtotal Display' System Setting has been enabled.  The subtotal is calculated as Quantity x Price and does not include any Freight, Miscellaneous , Discount or additive Tax amounts.  When the related 'Exclude Tax Included in Subtotal' System Setting is also enabled, the subtotal will not include any Tax Included amounts (i.e. when checked on the Tax Detail page) and will reflect the taxable cost amount for the item.

Amount Extended

The total dollar amount for the selected line.

Date Required

Read only field pulled from the Dynamics GP PO Line.

Department

Department from the Requisition that generated the PO line that is to be Received.

Priority

Priority code from the Requisition that generated the PO line that is to be Received.  If modified during System configuration, this field label may vary.

Vendor Comment

Vendor Comment from the Requisition that generated the PO line that is to be Received.

Comment

This field holds unlimited text.

Bin/Serial/Lot

This button becomes available for any session line containing serial or lot tracked items.  If the item on the selected line is not serial or lot tracked, the user will not be permitted to open the Serial/Lot Entry window.

Prorate Costs

Click this button to open the Prorate Costs window.  This allows users to enter total discount, freight and/or miscellaneous amounts and allocate them across all lines in the session where the Receipt checkbox is checked.  These amounts can be allocated to each marked line by relative amount, quantity or equally for each line as defined below.

 

Amount: Amount multiplied by (Line Amt Extended / Total Amt Extended for all Lines)

 

Quantity: Amount multiplied by (Line Quantity / Total Quantities for all Lines)

 

Line: Amount divided by the number of lines in the session.  

 

For each allocation method, remaining amounts due to rounding are added the first received line in the session.
